How do I receive an invitation letter for my visa application?

With regard to entry formalities, we recommend that you contact the German embassy or consulate in your country or your travel agency.

With effect from 24 July 2013, the visa offices at the foreign representations of the Federal Republic of Germany have been informed that future applications for a visa to visit a trade fair in Germany will no longer require the presentation of an invitation from the respective trade fair company.

Exhibitors are requested to submit an exhibitor authorisation from the respective trade fair company when applying for a visa. In this case, the visa can be issued free of charge. If the exhibitor is not in possession of an exhibitor authorisation, the purpose of the trip must be made plausible in another way; in this case, a visa cannot be issued free of charge.

What benefit is included in the runtime disposal fee?

The fee includes the following services:
- Provision of a sufficient number of rubbish bags for the duration of the event.
- Collection of the rubbish bag provided by the exhibitor at the stand at the end of the event day
- Disposal of the above-mentioned rubbish bags
- Subsequent delivery of refuse sacks if required.

How is the disposal of production waste handled?

In cooperation with our disposal partner, Remondis, we will set up decentralised disposal stations/collection points on the exhibition grounds, consisting of 36 cbm large-capacity containers, where the various materials/types of paper from the production of the exhibits can be disposed of by type, depending on the material quality.

These disposal stations/collection points are supervised by our waste disposal service personnel, each delivery of materials is documented in terms of quantity and quality, the exhibitor receives a disposal report and can thus fully and transparently track the disposal service provided at the end of the event.

Handling of the waste disposal service:

The exhibitor must organise the transport of his production waste from the exhibit/accumulation point in the exhibition hall to the large-capacity containers provided.

Either he transports these paper materials himself, or he commissions (our recommendation) one of our trade fair forwarding agents (Schenker/Kühne und Nagel) to transport the production waste from the exhibits to the large-capacity containers in the outdoor area.

To collect the materials/paper materials at the exhibit, the trade fair forwarders can provide the exhibitor with so-called lattice boxes with forklift pockets so that these can be picked up with hand pallet trucks from the exhibition hall and outside with a forklift truck with a special rotating crane device and transported to the disposal stations.

How must the exhibitor dispose of production waste produced during the event?

For production waste generated during the event runtime, the exhibitor must book the relevant disposal service for the material in the OOS. Billing is based on consumption. (see OOS / Waste disposal) Please note the specifications and guidelines of Messe Düsseldorf here.

Is the exhibition centre barrier-free?

The delivery of materials via gate 1 (Tor 1) is possible during the opening hours of the halls. Please note however that some access is normally restricted to one hour and a deposit of €100,00 is normally paid on entrance to the site. For more details please look at the service compass/ traffic regulations for the specific exhibition.

Please note that it is not possible for Messe Düsseldorf to receive or store deliveries. You should make sure when expecting deliveries that a person is at your stand and available to receive these.

If it is not possible then our contracted forwarding agents on site will be able to take goods into storage and deliver these to stands. For more information and pricing please contact one or more of our forwarding agents.

No, parking permits are not required during the setup and dismantling phase. However, please observe the traffic regulations of the event.

Important: Parking permits requested and assigned via the OOS are only valid during the exhibition period.

To access the dashboard, the following requirements must be met:

Your user account must be registered in the OOS user management system.
An initial login to OOS is required to activate your access rights.
Access is only granted after official approval of your participation.

Where can I upload my press release?

Post your press releases online free of charge in the digital press area via the exhibitor profile. Your product and company news will be published on the trade fair portal and guarantee you the interest of visitors and the media.

How can I increase the reach of my profile?

Maintain your profile as fully as possible and present your company to customers BEFORE the trade fair begins. Also take the opportunity to integrate a product and company video. This will increase your reach in the long term.

How can I order voucher codes for my customers?

You can order the visitor voucher codes (visitor day tickets) in the Online Order System / OOS of the respective event.

How do I manage the voucher codes?

Via the Visitor Voucher Code Manager you have an overview of the codes already redeemed at any time.

Statistical key figures on voucher redemptions and admissions can be tracked on a daily basis in the voucher management system.

Does Messe Düsseldorf offer a tool for distributing the codes?

You can use our customer invitation tool to send your codes to your customers. Your customers can then redeem the voucher codes for a ticket in the ticket shop. All you need is an Excel list of the guests to whom you want to send a voucher code. The best way to do this is to download our template.

Alternatively, you can also assign the codes individually by email in the visitor voucher code manager using the envelope next to the code.

How are the visitor voucher codes billed?

Billing only takes place for redeemed vouchers/codes (pay per use). You will only be charged for vouchers if they have actually been used for admission to the trade fair. You will not be invoiced for vouchers that have been redeemed but not used for admission. You will receive the invoice after the event.

What content of the media fee can I maintain myself?

You can maintain the content in your exhibitor profile yourself. This includes, for example, your contact details, product descriptions, company or product videos, news, etc.
A well-maintained exhibitor profile increases your reach and improves the findability of your company and your products.

How do I book a media package?

All packages and individual services can be conveniently booked via the Online Order System (OOS). There you will also find detailed descriptions and prices.

Can I book individual services instead of a package?

Yes. In addition to our marketing package solutions, you can book individual advertising formats – e.g. advertising in trade fair media, at the exhibition stand or on the exhibition grounds. This allows you to expand your reach where it has the greatest effect for you. Bookings are also made via the Online-Order-System.

When should I book?

We recommend booking early to secure the best placements in the media and limited packages (e.g. event partner packages). This allows you to benefit from maximum reach in the run-up to the trade fair.

How are the costs billed?

The media fee is billed together with the stand booking. Other media services are billed transparently via the online ordering system. With vouchers, for example, you only pay for tickets that are actually redeemed (‘pay per use’).

How can I measure my success?

Your success is measurable: reach figures, leads, newsletter responses, banner clicks and the number of vouchers redeemed are all available to you. In addition, tools such as Scan2Lead allow you to digitally capture all visitor data directly at your stand and export it for your lead management.

Does Messe Düsseldorf offer a tool for distributing the codes?

You can use our smart distribution tool to send your codes to your stand personnel. Each employee receives a personalised exhibitor voucher code by e-mail, which they can redeem in the ticket shop. How do I order digital exhibitor passes?

The free exhibitor passes are issued automatically and do not need to be ordered.
If you would like to order additional exhibitor passes that are subject to a charge, you can order these in the online order system.
Please note: If you have ordered more codes than you need, there will be no additional costs, as you will only be charged for the exhibitor passes you have used to gain access.

How do I create an exhibitor pass?

The following steps are required to redeem exhibitor voucher codes
necessary:

1) Go to the website.

2) Enter your exhibitor voucher code. (The prefix EXH does not have to be entered)

3) Enter your details in the registration form.

4) You will receive an e-mail with a confirmation link.

5) After clicking on the confirmation link, you will be redirected to a website with your exhibitor pass, and at the same time you will receive an e-mail with your exhibitor pass.
You can download your exhibitor pass at any time under "My orders".

6) Go directly to the entrance (turnstiles) on site. You will receive your personalised exhibitor badge when you pass through the turnstile.

The exhibitor badges are personalised for you, so you can only redeem one exhibitor badge code per e-mail address/registration.
To redeem additional exhibitor badge codes, the persons concerned must register independently with their own name and e-mail address.

When will the codes be sent out?

All codes for digital exhibitor passes will be sent to your main contact person by e-mail approximately two months before the start of the event.

Where do I find and manage the codes?

You have the option of managing exhibitor voucher codes via the Exhibitor Voucher Code Manager.
There you will find
- all free and chargeable exhibitor pass codes
- the redeemed codes with the names of your employees
- Assign and send codes
- the option to cancel redeemed codes (if you cancel a free code, you will receive a new one automatically loaded into your voucher code manager within 30-45 minutes)
Please note that it is not possible to offset free and chargeable codes. Therefore, please send your free exhibitor voucher codes first.

Is it possible to change the name of the exhibitor pass?

It is not possible to change names or companies on a created pass. The exhibitor pass must be cancelled online in the Exhibitor Voucher Manager. Your main contact from your company for the trade show can login there.

If you have already participated in a previous event, but not in the last one, please use the online registration for new exhibitors. Our exhibitor service team can still assign a previous participation based on the customer data and the history.

Are you exhibiting for the first time or have you already participated in an earlier event but not in the last one?

Please use the online application for new exhibitors, as the pre-filled online application is only possible if you participated in the last event.

Online Application for co-exhibitors / joint stand participants

As main exhibitor / joint pavillion organizer you have the possibility to invite co-/joint stand exhibitors via the EAT - Easy Administration Tool in our Online Order System / OOS. After receiving your invitation they can easily register via our online registration.

Is online registration binding?

By completing the online registration you have transmitted your legally binding registration data electronically to Messe Düsseldorf.

How can I cancel my online application?

Cancellation of online application is possible until admission. In this case, a cancellation fee (in accordance with the Special Conditions of Participation) must be paid.

Online Order System

How does the rebuy function work?

In the OOS stand management, all items from the previous participation, including quantity overview, are displayed via the “Orders and Recommendations” button. By clicking “Show details”, products can be reviewed, quantities adjusted, and items added directly to the basket. A “Rebuy all” function is currently not available, so required items must be added individually.

In addition, the “Product recommendations based on your booth size” section displays suitable services based on previous orders and other relevant booth-related factors.

How does the Online Order System (OOS) work?

In the OOS, exhibitors have the opportunity to conveniently order a wide range of services from the trade fair as well as offerings from the official service partners.

The system not only allows the booking of services and products for the operation of your trade fair stand, but also supports detailed stand planning. This includes, for example, editing and uploading a stand sketch to ensure a customized and precise design of your exhibition booth.

What is the difference between the OOS and the trade fair website (event portal)?

The Online Order System (OOS) and the trade fair website (event portal) serve different purposes in the context of your trade fair participation:

Online Order System (OOS)

Used to order services and products related to the exhibition stand as well as for detailed stand planning – e.g. editing and uploading a stand sketch, accessing admission documents. Additional users can be invited and assigned individual access and ordering rights. Bank details, invoices, and other documents can also be centrally managed here.

Trade fair website

Provides access to the exhibitor dashboard, enables company presentation, marketing activities, visitor management, and networking opportunities.

How can I place orders via the OOS?

On the start page, you will find the categories Stand Construction, Services, and Marketing and Press. These give you access to the full overview and ordering options for all available products and services.

Please note: Orders can only be placed after your participation has been officially approved.

By selecting a category, you will see all relevant products and services related to that topic. We recommend placing your orders as soon as possible after approval, as online ordering via the OOS is no longer possible once the respective order deadline has passed.

OOS Authorizations

What is an Authorized Representative and what tasks and access rights do they have?

An Authorized Representative is a person officially empowered by a company to perform certain tasks on its behalf, e.g., trade fair registration and communication with Messe Düsseldorf GmbH. The official registration confirmation is always sent to the company’s contact person.

After company approval, the Authorized Representative gains access to the Online Order System (OOS), can order products and services on behalf of the company, and receives up!date and status mailings regarding exhibitor passes.

Not accessible for Authorized Representatives: approvals, invoices, and the Easy Administration Tool (EAT) for co-exhibitors or joint booths. In the OOS, approvals, booth layouts, and invoices are available; bank details can only be changed by the company.

You can order a stand through our stand construction department. If you are an exhibitor and are planning your stand construction in Germany or abroad, the stand construction configurator is the right place for you, because we at Messe Düsseldorf can handle both national and international stand construction with you, from planning to implementation.The stand construction configurator is expected to be integrated within the online registration from mid-2022.

Are dogs allowed on the exhibition grounds?

Generally we advise you not to bring your dog with you to the fairground as tehere are no facilities for animals. But it is not forbidden. Dogs are not permitted at medical trade fairs.

In case of bringing a dog, the owner is responsible for the disposal of the waste. Bag dispensers are located at the entrances in the outdoor area, Drinking bowls in front of the outdoor catering area in the indoor area. Assistance dogs (such as guide dogs, hearing dogs, or service dogs for individuals with physical or mental impairments) are, of course, always welcome to accompany their owners.

How do I receive an invitation letter for my visa application?

Please note that you do NOT need a letter of invitation from the trade fair company to apply for a Schengen visa at the German Embassy/Consulate. This rule has changed since September 2013 and was adopted by the Federal Government.

For a person travelling to the fair as a visitor, you should submit the following information:
1) Visitor admission eTicket, which can be purchased online.

In addition, please contact the German embassy/consulate from which you will apply for the Schengen visa or visit their official website to find out which other documents you also need to submit in person.

Where can I rent a wheelchair?

Standard wheelchairs (free of charge) and electric wheelchairs (20,-- €) can be rented at our trade fair outpatient clinic for all trade fairs.

The wheelchairs can carry a maximum load of 100 kg. Standard wheelchairs and electric wheelchairs are only available in limited numbers.

Are there cloakrooms on the exhibition grounds?

During the entire duration of the trade fair, you can leave your clothes and luggage for storage from 1.5 hours before the official start of the trade fair until one hour after the end of the trade fair. The cloakrooms are located at the entrances.

Yes, suitcases/trolleys are permitted on the exhibition grounds.

Are there e-charging stations for electric cars?

If you are travelling by electric car, you can charge your car in almost all of our car parks during your visit to the trade fair. A total of 19 charging points are available at six locations on our site. The exact locations of the charging stations and the technical details can be found on our site map.

Parking for people with disabilities

All visitors with an aG (extraordinarily disabled) or BI (blind accompanied) badge can park free of charge in our car parks P1/P2.
You will find disabled parking spaces in Arenastraße near our North Entrance. The badge or the official sign authorising you to park in disabled parking spaces must be visible in the vehicle.

The fair is not sold out. The ticket shop for the event typically opens 2 to 3 months before the start of the event. You can already register in the ticket shop now and you will be informed by email as soon as sales begin.

How can I change the names on my tickets?

Unfortunately, it is not possible to change names on tickets or tickets created from vouchers after they have been issued. In this case, please contact ticket@messe-duesseldorf.de by email.

How do I get my parking permit?

You do not need a separate parking permit for the duration of the trade fairs. You can park free of charge as a member of press in car park P4 on Stockumer Kirchstraße, right next to the trade fair administration.
Please understand that we cannot guarantee that there will always be sufficient parking spaces available in the P4 car park. If necessary, you will be redirected to an alternative car park.

Accreditation

Can journalists get accredited on site?

Due to renovation work on the administrative buildings at Messe Düsseldorf, it will no longer be possible to obtain accreditation there. From February 2026, the Press Centre will be located in the restaurant in Hall 12. Access to this area, as well as general entry to the exhibition grounds, is only possible with prior accreditation. We would therefore urgently ask you to use the online accreditation service in advance – otherwise you may face significant detours and waiting times on site.

Where can I find further help on accreditation?

Our press team provides you with press releases, specialist articles, radio or TV reports and is available to you as a contact partner.

I would like to attend a conference as part of the trade fair. Is separate registration or accreditation necessary?

The press ticket also entitles journalists to attend the conference program or a congress. Please wear your press badge clearly visible at the event. However, the number of participants in the conference rooms is limited. The press ticket therefore does not entitle you to general access to a conference room. Please also note the possibility of streaming program elements, the forums integrated into the event and accompanying conference online.

How do I get my press ticket?

After successful accreditation, you will receive an email with a link to the ticket shop. Here you can add your free press ticket to your shopping basket and complete your order. You will then receive an email with the press ticket as a PDF attachment to print out.

I can't register because the system asks for a password.

If the system asks for a password after you have entered your email address, this email address is already registered with Messe Düsseldorf. A registration is valid for all events organised by Messe Düsseldorf.

How can I accredit myself?

Press accreditation is possible via the respective trade show portals. You will receive your press ticket as a PDF document for immediate printing or for mobile use on your cell phone. The press ticket is accepted at all open entrances and is valid for the entire duration of the trade show. Pockets for the press ticket, lanyards and the trade fair catalog are available at the Press Center. Please understand that all non-editors, such as marketing or advertising managers, are excluded from receiving a press ticket.You can find out under which conditions you can legitimize yourself as a media representative in our accreditation guidelines.
